There is one (1) position available, having a specified period of employment of two (2) years, with the possibility of a term extension or a change in status to indeterminate based on operational needs. This competitive staffing process may be used to create an eligibility list of qualified candidates for this position with various tenures, including indeterminate, term, assignment/transfer, and/or acting opportunities at the Consulate General of Canada in New York, which might arise in the 12 months following the completion of this competition.

Summary of position:
The Consulate General of Canada in New York and the Permanent Mission of Canada to the United Nations are seeking a Property and Material Assistant to provide procurement, office and facilities management support to the two missions and residential housing portfolio in New York, as a member of the joint Common Services team. This is an exciting opportunity to work for an organization whose core business goals include providing key services to Canada and Canadians in a timely and cost-effective manner

Under the general supervision of the Mission Administrative Officer the incumbent processes and maintains documents for the maintenance, repair, upkeep, and security of all crown owned and leased properties; sources, procures and maintains records of furniture, supplies and materials; maintains working relations with appropriate suppliers and contractors, and liaises with owners of leased properties as instructed by the supervisor; gathers data for the development of the budget for the leasing, operating and maintenance of all crown owned and leased properties, assists in the monitoring and supervision of Chancery cleaning/maintenance contract; effects minor maintenance as required; and performs other duties.

Essential qualifications:
Candidates must demonstrate clearly in the cover letter how they meet the Education and Experience requirements listed below:

Degree from an accredited college or preferably in a field related to the duties of the position.

• Minimum two (2) to four (4) years’ experience in property, facilities and/or procurement administration.
• Recent experience in customer service and client support.
• Recent experience in office management including the purchase of supplies and sourcing of vendors.
• Recent experience with Microsoft Office Suite, e.g., Word, Excel, and Outlook.

Asset Qualifications:
• Ability to communicate in French is desirable.
• Basic knowledge of electrical, HVAC, and plumbing.
• Experience using SAP software is a plus.

Organizational Needs:
Candidates who meet the Education and Experience requirements will be assessed on the following qualifications.

• Basic knowledge of budget management and procurement;
• Knowledge office management including the purchase of supplies and sourcing of vendors;
• Basic knowledge of property/facilities management including minor maintenance; and
• Knowledge and proficiency in computer software, including Microsoft Office Suite, e.g., Word, Excel and Outlook.

• Ability to communicate effectively orally and in writing;

• Ability to work effectively in a team environment; and
• Ability to take initiative to identity and solve basic problems.

Operational Requirements:
Operational Requirements
Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.5 hours per week. Travel within the local New York metro area.

Condition(s) of Employment:
• The successful candidate will be required to obtain Government of Canada Reliability Status (RS)which includes a criminal and credit background check; and
• Have independent work authorization in the U.S. and status in accordance with U.S. protocol directives for foreign missions.
