Summary of position:
Locally Engaged Level 5:

• Screens documentation, applications and files; reviews for completeness and accuracy; identifies discrepancies.
• Replies to and prepares pre-formatted and original correspondence and reports.
• Develops and implements service delivery methods, tools, form letters, tracking tools for facilitating or improving existing processes.
• Plans for and guides support staff in the delivery of operational and processing services related to such areas as information management, electronic or hard copy, file creation, general application processing support.
• Translates and interprets written and verbal information as required.
• Researches internal and external sources and uses knowledge of the local environment to inform Officers regarding difficult problems in processing, legislative or regulatory conformance.
• Supports the administrative needs of the Immigration Program Manager, Officers and section, which may include maintaining budget records, preparing and tracking financial documents, maintaining calendars, arranging meetings, planning, preparing and executing travel and hospitality and preparing claims, on behalf of the IPM, Officers, and official visitors.
• Follows quality control guidelines to facilitate compliance and maintain database integrity.
• Participates in training and development of colleagues and support staff.
• Performs other duties.

Essential qualifications:
Applicants must clearly and explicitly demonstrate in both their application letter and résumé that they meet the essential qualifications on education, language and experience criteria listed to be screened into this competition. A degree or diploma from a recognized university or post-secondary institution or an *acceptable combination of education, training and experience may also be considered.

*Acceptable education, training & experience is defined as at least 5 years of continuous experience working in a related field.

• Fluency in English (oral and written).

• Minimum of three years of recent* work experience in an office environment with a focus on general administration and client service in a medium to large size organization.
• Demonstrated experience dealing with the public both in person and through written correspondence.

* Recent is defined as within the last 5 years.
• Knowledge of general office procedures and practices
• Knowledge of text preparation and formatting, handling correspondence, letters, e-mails and filing
• Knowledge of software packages: Windows, Microsoft Outlook, Microsoft Word and Excel

Asset Qualifications:

• Knowledge of French


• Previous work experience with Immigration, Refugees and Citizenship Canada (IRCC) either domestically or overseas, is considered an asset.
• Proficiency with IRCC file processing software (GCMS) is considered an asset.

Organizational Needs:

Operational Requirements:
• May be required to work overtime when required;
• May be required to travel occasionally.
• May be required to work directly with the public

Hours of Operation:

• The normal work week is 37.5 hours (7.5 hours per day)
• Monday to Thursday between 07:30h to 16:00h
• Fridays only between 07:30h to 13:00h
