Summary of position:
The position is part of the Canadian Defence Attaché (CDA) section and reports to the Senior General Relations Officer at the Embassy of Canada to Qatar and the CDA Administrative Assistant at the Embassy of Canada to the UAE. The position provides administrative support to the Defence Relations Section including the drafting and tracking of correspondence such as Diplomatic Notes, translation services to/from Arabic/English, liaison with local government authorities and foreign embassies. The position also provides diplomatic clearance administrative support, including on the issue of visas. In addition, the position will entail providing support to other sections within the Embassy of Canada to Qatar as appropriate.

Essential qualifications:
Candidates will be screened on the essential criteria below and must demonstrate in their covering letter how they meet these elements. Only candidates who meet the screening criteria will be invited for further assessment:

Education:
• Bachelor’s degree from a recognized university or a college diploma plus 2 years of experience over and above what is specified below.

Language:
• Fluency in English, both written and spoken, is essential.
• Fluency in Arabic, both written and spoken, is essential.

Experience:
• Minimum 2 years of recent* experience working in an office environment in an administrative support or program assistant capacity (*recent is defined as within the last 3 years).

Knowledge:
• Knowledge of office practices and procedure, including scanning, photocopying, filing and/or other tasks assigned when required.
• Excellent knowledge of Microsoft Office (Outlook, Word, PowerPoint and Excel).

Abilities/Competencies:
• Ability to work as part of a team but with minimal supervision
• Able to set priorities, multi-task and manage time/workload effectively
• Able to work under pressure and within deadlines;
• Effective communication – oral and in writing
• Judgement and professional integrity
• Adaptability and flexibility
• Attention to detail

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications:

• Previous experience with international organizations, militaries, and/or government agencies/Embassies
• Knowledge of local administrative and governmental procedures
• Ability to speak, read and write in French

If candidates meet the factors listed in the asset qualifications they must also clearly demonstrate how they meet these factors in their covering letter.

Operational Requirements:
• Work in a pressured environment
• Willing to do overtime on weekdays and/or during weekends if required
• Hours of Work: Office employees are required to work thirty-seven and a half (37.5) hours a week from Sunday to Thursday

Condition(s) of Employment:
• Obtain and maintain necessary Government of Canada Reliability Status clearance
• Successful completion of a one year probation period
