Summary of position:
Under the supervision of the Security Program Assistant and direction of the Consul, the incumbent acts as a receptionist in welcoming visitors to Canada House in a friendly and professional manner. He or she operates the central telephone switchboard serving all programs of the building; provides general information to visitors on the Consular, Cultural and Immigration Programs; controls physical access to the Chancery and provides a front-line security system as well as performing other duties.


Under the supervision of the Passport Program Manager and direction of the Consul, the incumbent provides clerical support to the passport program. These duties can include updates to the passport database; responding to telephone and email enquiries; monitoring the public counter for routine services and daily passport collections; processing passport payments and performing general office duties (shredding of confidential documents, keeping stationary supplies in order, etc.).

The incumbent performs other duties as required.

Essential qualifications:
Candidates will initially be screened on the essential qualifications below and must demonstrate in their cover letter how they meet these criteria. Only those candidates who meet all the Essential Requirements will proceed to the next stage of the process.

Education: GCSE’s or equivalent (i.e. minimum High School Diploma)

Experience: 6 months recent* experience in an office environment in a client-facing or customer service role. *recent is defined as within the last 2 years

Linguistic Profile: Fluent in English

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications. Candidates must also clearly demonstrate how they meet these factors in their cover letter:
• Ability to read, write and understand and/or communicate in French at an intermediate level
• A university, college degree or post-secondary equivalency
• Experience in reviewing, analyzing and extracting information from databases
• Experience in writing various correspondence
• Experience working as a receptionist
• Demonstrated ability to cope in a fast-paced and stressful environment
• Experience processing travel documents
• Experience working for the government of Canada
• Experience working in a diplomatic mission

Condition(s) of Employment:
Hours of work will be 37.5 per week, worked Monday to Friday at time to be arranged by the supervisor. Any job offer is subject to receipt of satisfactory employment and character references and the ability to obtain and maintain an Enhanced Reliability security screening (including a criminal record check).
Copies of educational qualifications will be required at the interview stage of the process. Successful candidate must have a valid passport and the required documentation allowing the right to work in the UK. Documentation will be required.

This position is open to candidates currently resident in the UK, who hold current documentation allowing them to work in the UK without restriction, who meet all of the essential requirements stated and whose applications are received by the closing date.
