Summary of position:
The Common Services Assistant provides daily administrative support and services, especially related to financial transactions; provides and creates information and/or documentation; provides support for ongoing program activities; responds to service requests from clientele and performs other duties as required.

The Common Services Assistant also proactively cooperates with regional offices on a regular basis.

Essential qualifications:
• Bachelor’s degree

• Proficiency in English (reading, writing, listening and speaking)
• Proficiency in Mandarin (reading, writing, listening and speaking)

• Minimum of two years’ experience with general administrative duties
• Minimum of two years’ experience with client service
• Experience related to accounting or financial management or budgeting

• Advanced knowledge of Microsoft Office applications including Outlook, Word and Excel
• Knowledge of accounting/bookkeeping/budgeting
• Knowledge of office administrative management practices, processes and procedures in finance and in at least one of the following areas: human resources, logistics, event organization, procurement and contracting

• Ability to write effective business correspondence in English and Chinese
• Ability to perform well in a busy office environment
• Ability to manage data efficiently and to produce report

Asset Qualifications:
• Courses related to accounting, financial management or budgeting
• Courses related to HR

• Proficiency in French (reading, writing, listening and speaking)
• Proficiency in Cantonese (reading, writing, listening and speaking)

• Previous work experience in at least one of the following: HR, logistics, event organization, procurement and contracting

• Knowledge of financial system SAP

Organizational Needs:

Operational Requirements:
• Ability and willingness to work overtime on short notice as required;
• Able to travel domestically and internationally as required

Condition(s) of Employment:
• Ability to obtain and maintain a valid working authorization in China. Per Chinese regulations, the Embassy / Consulates can only facilitate working visas for Canadian citizens.
• Ability to obtain and maintain a valid “Reliability Status” security clearance.

Area of selection:
This position is open to external applicants residing in China and employees occupying an indeterminate or term position in China Missions who meet all of the essential qualifications and whose applications are received by the closing date. Short-listed candidates should be able to participate in tests and/or interviews in Guangzhou at own expense. The successful candidate will be required to relocate to Guangzhou at own expense.
