Summary of position:
Under the general supervision of the Deputy Director (Operations), the Administrative and Logistical Program Assistant provides administrative support to the office of the High Commission of Canada’s Development Section and, as required, the rest of the High Commission of Canada. Duties include, but are not limited to, ensuring that agendas, meetings, calendars, correspondence, travel, contact lists, and action items are kept up-to-date and organized in an efficient manner; administering travel/hospitality preparations and claims; coordinating arrangements and providing assistance to planning events for the Development Section and/or High Commission; facilitating building maintenance for the Development Section as required; preparing orders for purchasing; providing back-up to the Program Assistant to the Executive Director (Development) and to the rest of the High Commission, as required; drafting communications and other correspondence and assisting with the preparation of reports; responding to service requests from clients, and; providing support to the record keeping function.

Essential qualifications:
Candidates must demonstrate clearly how they meet the requirements listed below:

Language
• Fluent in English (reading, written and spoken)

Education
• A degree from an accredited university or college; or an acceptable combination of relevant experience, education, and training related to the duties and specific essential qualifications required by the position.

Experience
• A minimum of three (3) years of experience (within the past five years) providing administrative support services to a diverse team in a government or corporate office environment;
• Experience in providing logistical support, including meetings and events preparation, transportation and travel arrangements, and other relevant activities;
• Experience in reviewing travel/expense claims, employee time sheets, and preparing payments of invoices.



Asset Qualifications:
The ability to work in French would be an asset.

• Research and evaluate information effectively.



Condition(s) of Employment:
 Eligibility for a Government of Canada Enhanced Reliability Status which includes a criminal record check, credit check, and validation of qualifications
 Ability and commitment to working additional hours as required and on short notice, on evenings and weekends
 Successful completion of a one-year probationary period.
