Summary of position:
Under the general direction of the Program Manager, the Foreign Policy Diplomacy Service Administrative Assistant (LE-05) provides daily administrative support and coordination services, as well as support for ongoing program activities.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

• Graduation from university, college or relevant post-secondary institution

• Proficiency in English
• Proficiency in Russian

• Recent experience working in an office and following standard office procedures (recent is defined as within the past 3 years)
• Experience with provision of administrative support services

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

• Strong working knowledge and familiarity with operating:
o computer systems (especially MS Windows OS)
o E-mail and electronic calendar tools
o web-browsing and online search tools
o electronic information management systems
o word and data processing programs (especially the MS Office suite)
• Understanding and familiarity with operating common office devices and tools

• Strong oral and written communication skills
• Ability to work in a team environment (coordination and cooperation)
• Ability to work under pressure and meet deadlines
• Ability to prioritize
• Initiative
• Judgement

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Proficiency in French
• Post-secondary school diploma in business administration
• Experience in finance or accounting
• Knowledge of (Government of Canada) Travel Directive and hospitality rules
• Experience in government
• Experience in gathering and synthesizing large amounts of information quickly
• Experience in event planning and coordination
• Experience in written translation

Organizational Needs:

Operational Requirements:
• Ability to work occasional overtime (evenings, weekends, if necessary)

Condition(s) of Employment:
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in the specific city, region or country so that if selected, it will appear on the offer letter.
• Obtain and maintain a reliability rating (security clearance) from the Government of Canada covering the entire employment period.
