Administrative Assistant Public Affairs (m/f/d) - Term Position - Part-Time

Salary:
The starting salary is 1,556 EUR gross per month gross (for 18.75 hours / week) plus a 13th months salary and benefits.

Summary of position:
Reporting to the Head of Section and in close cooperation with the other incumbent, as a locally-engaged Program Assistant with responsibility for Public Affairs and Advocacy, provides administrative and logistical support to the section; has significant responsibility for tracking, documenting and processing expenditures of large budgets; handles requisitions for payment (advances, settlement of accounts) from various budgets; is responsible for correct entry of financial transactions into internal software (P2P); organizes and assists during representational and hospitality events; coordinates the section’s youth employment program (if applicable), and; acts as liaison with the public and is point of contact for general inquiries; is responsible for travel arrangements; makes appointments with senior government officials, academics, cultural and media interlocutors; is responsible for general office management duties for section.

Essential qualifications:
Essential Qualifications

Education:
- High-school leaving certificate (Abitur) plus relevant training or higher education

Experience:
- Minimum of one year work experience in an office environment out of the past 6 years

Language:
- Professional level of one of Canada’s official languages (English/French, written and spoken) with knowledge of the other official language (written and spoken)
- Strong level of German (written and spoken)

Operational Requirements:
- Normal working hours will be in the afternoons between 1:00 pm and 5:30 pm
- Preparedness to job-share with incumbent of other half of the position
- Preparedness to work extra hours on a regular basis, including some evenings and weekends

Condition(s) of Employment:
- Ability to obtain an enhanced reliability clearance
- Residence in Germany
- Valid work permit for Germany
