Summary of position:
Under the direct supervision of the Common Services Assistant and the overall supervision of the Common Services Officer, the receptionist manages the telephone switchboard serving all the Mission’s programs; provides general information to visitors on services provided by the Mission; supervises physical access to the Chancery and enforces security instructions at entry; plans the schedules of the chauffeurs, produces invoices for transportation funds recovery, supervises the use of fuel cards, receives incoming and outgoing mail, as well as e-mails received in the generic inbox, and forwards it to appropriate persons; provides administrative support to the mission's common services and consular programs; receives, schedules and distributes logistics requests from mission visitors and performs other related duties as required.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.


• Baccalaureate + 2 years (minimum) with a diploma in secretariat, office technology, or related field or equivalent combination of relevant studies, training and experience.

Language Requirements:

• Proficiency in French (oral and written);
• Intermediate level in English (oral and written)
• Knowledge of Wolof (oral)

By intermediate English we mean the ability of the incumbent to speak and write enough English to greet and direct visitors to desired services or information, read and respond to e-mails in English. The incumbent must also have knowledge of Wolof in order to welcome visitors and direct them to the desired services or information.


• Have a minimum of three (3) years of recent professional experience * in an environment similar to the position to be filled: receptionist, administrative assistant, executive secretary.
• Have work experience with a strong focus on customer service.
* Recent means in the last 5 years.

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.


• Knowledge of general office procedures;
• Knowledge of Microsoft Office Suite (Word, Outlook, Excel, Power Point).

• Ability to plan, organize and prioritize multiple requests;

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

Preference may be given to candidates who possess the following qualifications:

• Experience in a similar position with a large company working in an international context, a major NGO, a diplomatic mission or an international organization.

• The employee may occasionally be required to work additional hours with or without notice that may occur after regular hours and during statutory holidays.

Condition(s) of Employment:
• Eligible to reside and work legally in Senegal;
• Obtain and maintain a Government of Canada security clearance (Status of reliability).
