Summary of position:
Under the supervision of the Common Services Assistant, operates the central telephone switchboard serving all sections of the mission; responds to telephone and electronics queries from the public, clients and Embassy stakeholders; provides general information to clients of the Consular program; controls physical access of visitors to the Chancery; provides administrative and logistical support to the Consular and Common Services programs.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language.
Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Minimum degree: high school diploma

Languages:
• Fluency in English (oral and written). Language capabilities will be tested and must score C1 or C2.
• Fluency in French (oral and written). Language capabilities will be tested and must score C1 or C2.
• Fluency in German (oral and written). Language capabilities will be tested and must score C1 or C2.

Experience:
• Minimum of 2 years working experience as a receptionist or in an administrative position providing service to clients in person, electronically and by telephone.
• Demonstrated experience in dealing with sensitive and confidential information such as personal details

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment
may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or
psychometric assessment.

Knowledge:
• Knowledge of general administrative principles, including but not limited to maintaining an effective filing system, office procedures, email and phone etiquette, etc.

Core competencies:
• Proficient in the use of office technology, including Microsoft Office Suite applications;
• Ability to provide effective and courteous client service in person, by telephone and electronic messaging;
• Ability to handle sensitive and confidential information with diplomacy and within the parameters of a need-to-know basis;
• Ability to communicate effectively, both orally and in writing, in a clear and well organized fashion;
• Ability to work independently and as part of a larger team;
• Ability to handle pressure at work and perform within demanding situations.


Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.
• Education with emphasis on customer service or reception tasks.
• Experience in a similar position for a corporate organization, foreign/diplomatic mission or other government office or international organization.
• Experience providing client service to Canadians
• Experience drafting formal correspondence

• Overtime may be required occasionally
