Summary of position:
Under the supervision of the CSO or other Officer/Manager, the incumbent is accountable for the provision of administrative support services of mission (embassy) specific common services and the coordination of regionalized common services requests from the mission to the CSDP. The incumbent is responsible for the provision of documents, information and a variety of administrative services in support of more than one of the following areas: procurement, materiel management, and contracting.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Bachelor’s degree (BAC + 2) from a recognized university in Administration or other discipline relevant to the position or equivalent combination of relevant education, training and experience.

Language:
• Fluent in French (oral and written).

Experience:
• Minimum of two (2) years of recent experience* in managing contracts and/or processing procurement operations;
• Minimum of two (2) years of recent experience* in managing teams of at least two (2) employees;
• Recent* experience working in an office with a focus on customer service and adherence to standard office procedures.

*Recent is defined as within the last five (5) years

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• Knowledge of basic administrative procedures and support, and managing inventories;
• Knowledge of the principles of supply management or contracts;
• Knowledge of computer software including MS Office Suite (Outlook, Word, Excel).

Ability/Competencies:
• Adaptability and flexibility;
• Attention to detail;
• Autonomy and sense of initiative;
• Effective interactive communication;
• Discretion, judgement and professional integrity;
• Ability to plan, organize and prioritize multiple requests.

Asset Qualifications:
Preference may be given to candidates who meet the asset qualifications. Candidates must clearly demonstrate in their cover letter and resume how they meet these qualifications, if any.

• Similar experience in a position within a diplomatic mission or an international organization;
• Knowledge of Wolof.

Operational Requirements:
• Willingness and ability to work occasionally outside normal working hours and/or weekends, as required;
• Hours of work: Normal working week 37.5 hours (7.5 hours per day).

Condition(s) of Employment:
• Ability to legally reside and work in Senegal;
• Obtain and maintain a Government of Canada Security Clearance (Reliability Level).
