Summary of position:
Under the general supervision of the Consular Officer, answers all Consular inquiries via emails or telephone; updates the system for the registration of Canadian citizens; processes and coordinates all citizenship applications, manages daily authentications of documents; provides administrative and financial services for the consular section, including coding bills; replaces Passport Examiner in the processing of passport applications.
Performs other duties as required.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Bachelor’s degree or equivalent diploma or an adequate combination of education and relevant professional experience

Experience:
• Recent* work experience in face to face client service
• Recent* work experience as an office assistant
*Recent is regarded as within the last 5 years

Language:
• Fluency in English (written, read and spoken)
• Fluency in Arabic (written, read and spoken)
• Intermediate level in French (written, read and spoken)

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• Knowledge of Microsoft Office suite (Word, Excel, and Outlook) and internet search engines.
• Knowledge of administration of office procedures and practices.
• Knowledge of basic accounting principles
• Knowledge of Canada
• Knowledge of consular services offered to Canadians abroad

Ability/Competencies:
• Able to coordinate priorities within tight deadlines
• Ability to work courteously and effectively in a multi-national team
• Attention for details and accuracy
• Efficient interactive communication (both orally and written)
• Professional integrity and good judgment
• Ability to work under pressure, plan and organize and prioritize multiple tasks
• Able to analyze and interpret new information quickly
• Ability to provide quality services to clients

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV:
• Previous experience in an English or French speaking government or public sector environment;
• Previous experience working in the following fields – Consular and passport services
• Experience or education in fields related to psychology or therapy;
• Experience in managing an organizational social media account
• Fluency in French (written, read and spoken)

• Overtime may be required occasionally
• Hours of work: Normal working week 37.5 hours (7.5 hours per day)

Condition(s) of Employment:
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in the specific city, region or country so that if selected, it will appear on the offer letter.
• Obtain and maintain a reliability rating (security clearance) from the Government of Canada covering the entire employment period.
