Summary of position:
What will you do?
• Provide event planning support for curated initiatives and VIP visitor programs.
• Track budget resources, process claims/invoices/payments of vendors and maintain appropriate records and knowledge of policies.
• Prepare contract forms for approval and track contracts with external service providers for completeness on behalf of the team.
• Input data into CRM system(s) and generate reports on a biweekly basis.
• Undertake research to prepare responses to enquiries from the public on a broad range of trade, innovation and investment-related subjects.
• Lead on and update the team’s information management system(s) (e.g Salesforce, Sharepoint, etc.).
• Research content to contribute to the Consulate’s LinkedIn and Twitter accounts.
• Provide outstanding administrative and organizational support to the team while reporting to the Program Manager.
• Work collaboratively with other administrative support staff in the program to ensure coverage.

Essential qualifications:
Language requirement:
Fluency in written and oral English.

Education requirement:
An Associates or Bachelor’s degree from an accredited college or university.

Experience requirements:
• Minimum 2 years recent* experience in an administrative support role in a professional office environment.
• Recent experience tracking budget resources, and processing claims/invoices/payments.
• Recent experience in supporting event planning, projects, initiatives, activities and VIP visitor programs.
• Recent experience in drafting responses to public inquiries, including conducting research and writing correspondence.
• Advanced use of Microsoft Office and CRM systems (e.g Salesforce, Sharepoint, etc.).

*Recent as defined in the last 5 years

Asset Qualifications:
• CRM systems (e.g Salesforce, Sharepoint, etc.).
• French.

Organizational Needs:
Candidates who meet the Language, Education and Experience requirements will be assessed on the following qualifications via a written test, an interview, an in‐basket exercise, a skills test, or any combination of these methods:
a. Knowledge:
• Role of the Canadian Trade Commissioner Service.

b. Abilities:
• Manage multiple priorities with tight deadlines;
• Use social media tools for promotion and/or to generate new business opportunities;
• Take initiative to identify and solve problems; and
• Microsoft Office: Word, Excel, PowerPoint, Outlook.

• Teamwork and cooperation; and
• Integrity and resilience


Operational Requirements:
Our hours of work are:
• 37.5 hours per week in accordance with Locally-Engaged Staff regulations.
• You must be willing to work overtime and evenings when required.

Condition(s) of Employment:
• Have independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions.
• Reside in the United States.
• Meet all of the requirements stated above.
