Job Title:
Head of Mission (HOM) Driver and Administrative Assistant at the Australian Embassy to Ukraine

Salary:
Hourly gross: USD 5.17/hour – USD 11.38/hour (paid in fortnightly instalments in UAH equivalent, subject to annual increment upon effective performance). Overtime is paid at double rate, in compliance with the local Labour law.

Term position (to 30 June 2022), with possibility of extension (full time; 40 hours per week). This is a Locally Engaged Staff (LES) position, subject to the Canadian Terms and Conditions of Employment for LES in Ukraine.

Summary of position:
Under the direction of the Australian Ambassador/Deputy Head of Mission (DHOM), the HOM Driver and Administrative Assistant will be responsible for:
• providing safe, secure and efficient driving services to the Ambassador (Head of Mission), Australian Embassy staff and others for engagements in Kyiv, airport transfers and regional travel within Ukraine;
• maintaining the Embassy vehicle in clean and good condition, including refuelling, scheduling periodic vehicle maintenance and repairs, and seasonal changing of tires;
• delivering documents and packages to and from the Embassy to locations in Kyiv and surrounds;
• arranging to send/receive items by mail/courier, assisting with pricing/purchasing good and services from local suppliers, and making payments at banks;
• replenishing vehicle supplies and preparing run sheets and fuel card acquittals;
• supporting other staff with passports and notarial services;
• assisting with the set-up/closure of Embassy events and public diplomacy activities;
• undertaking basic office work, including scanning, photocopying, updating the contacts database, and filing;
• backing-up other staff during absences by processing routine financial payments and actioning property maintenance requests; and
• performing other related duties, as required.

Essential qualifications:
Candidates must clearly demonstrate in their application letter how they meet these essential requirements by drawing on examples from their work experience. Candidates should outline their work history and education in the CV. The requirements listed below will be assessed through any of the following: written test, interview and reference checks.

Abilities/Competencies:
• Proven ability to deliver high-level driving and associated support services in a safe and secure manner.
• Good working level of written and spoken English, including the ability to communicate effectively orally and in writing.
• Ability to take initiative be flexible, and meet deadlines.
• Display of good organisational and interpersonal skills and sound judgement.
• Native fluency in Ukrainian and Russian (reading, writing and speaking).
• Ability to work independently as part of a small team, maintain good working relations with other staff, and contribute to the achievement of team priorities.

Experience:
• At least three years’ recent experience working in a driving role and proven track record in managing complex schedules.
• Demonstrated evidence of clean driving record.
• Relevant logistics and administrative support experience in a small to medium sized office, including use of computing package Microsoft Office.

Education (minimum level required):
• An acceptable combination of education, training and work experience to meet the abilities/competences.

Asset Qualifications:
• Experience working for a government agency, diplomatic mission or international organisation.

Operational Requirements:
• Ability and willingness to work overtime (evenings and occasionally weekends).
• Some travel outside Kyiv will be required.
• Commitment to a high standard of professional integrity, discretion and ethical behaviour.

Condition(s) of Employment:
• Valid driver’s license.
• Candidates must have a valid work authorisation covering the entire employment period. Proof of the right to work in Ukraine and copies of educational qualifications may be required at the interview stage.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in Ukraine.
• Any job offer will be subject to reliability security screening, including criminal record and credit checks.

• The results of this recruitment process may be used to establish an eligibility list of qualified candidates for similar openings at the Embassy of Canada in Ukraine which might arise in the 12 months following the completion of this recruitment process.
