Summary of position:
Under the general supervision of the Director, Executive Office and in close collaboration with the Executive Assistants to the Head and Deputy Head of Mission, the Social Secretary is responsible for the successful planning and execution of senior level hospitality events for the Head of Mission (HOM) and Deputy Head of Mission (DHOM) hosted at Canada House, the Official Residence and at external venues. The Social Secretary is also responsible for administrative/logistical support as it relates to externally hosted events, official/personal correspondence, and is a key point of contact and expert within the Mission on etiquette and official protocol.

This is an exciting opportunity, for an enthusiastic self-starter to work with a dynamic and energetic team!

Additional duties include: assisting with the maintenance of the HOM/DHOM calendar of appointments, maintaining an up to date contact database, managing an efficient filing system, drafting correspondence, tracking and responding to incoming invitations and responding to queries.

The successful applicant will work closely with the High Commissioner, the Deputy High Commissioner, the Residence Team, the Visits Officer, the Events Team, the HOM Chef and HOM Driver. The Social Secretary will also work closely and develop a strong network with peers in other Missions, the Foreign and Commonwealth Office, the City of London, and counterparts within the Royal households.

Essential qualifications:
Candidates will initially be screened on the essential qualifications below and must demonstrate in their cover letter and CV how they meet these criteria. Only those candidates who meet all the Essential Requirements and demonstrate this clearly within their application will then proceed to the next stage of the process.

Education: A levels or equivalent.

Experience: The candidate must have minimum 2 years *recent experience working in a client facing administrative environment dealing with a wide range of senior level stakeholders such as international dignitaries, politicians, government officials and business leaders.

*Recent experience is defined as within last 4 years.

Language requirement: Fluency in English

Asset Qualifications:
The High Commission has the right to further screen on Asset Qualifications and as such, preference may be given to candidates who have the following asset qualifications. Candidates should also clearly demonstrate in their cover letter if they meet these factors:
• Fluency in French
• University degree
• Experience dealing with Protocol and VIPs
• Knowledge of the UK political system
• Calligraphy skills

Operational Requirements:
Willing and able to work regular extended hours as required on a frequent basis including late evenings, weekends and sometime with little advance notice

Condition(s) of Employment:
Hours of work will be 37.5 per week, worked Monday to Friday at time to be arranged by the supervisor. Any job offer is subject to receipt of satisfactory employment and character references and the ability to obtain and maintain a ‘Reliability Status’ security clearance (including a criminal record check).

Copies of educational qualifications will be required at the interview stage of the process. Successful candidate must have a valid passport and the required documentation allowing the right to work in the UK. Documentation will be required.

Important Notes:
This position is open to candidates currently resident in the UK, who hold current documentation allowing them to work in the UK without restriction, who meet all of the essential requirements stated and whose applications are received by the closing date. Those candidates holding documentation/visas not renewable in the UK such as the Youth Mobility Visa will not be eligible to apply for this position.
