Summary of position:
As a member of the Public and Political Affaires Department, the Administrative Assistant will help to manage administrative work of the team. The Administrative Assistant will also help to promote cultural and educational exchanges in Québec, including development and sharing of advice and information to clients; building relationships with clients and local contacts; doing troubleshooting as well as planning and executing events

Essential qualifications:
Education:

• Minimum Bachelor’s degree from a recognized university, OR an acceptable equivalent through the combination of education and work experience

Language:

• Proficiency in French (reading, writing and speaking)
• Proficiency in Mandarin (reading, writing and speaking)
• Proficiency in English ( reading, writing and speaking)

Experience:

• Experience in dealing with the general public and customer/client service
• Experience in general administrative duties

Knowledge:

• Knowledge of MS Office Tools, including Outlook, Word, Excel and PowerPoint

Abilities/skills:

• Ability to write effective letters and correspondence in French and Chinese;
• Ability to research, interpret sources of information and synthesize data to respond to requests for information from clients
• Ability to perform translation and interpretation from Chinese to French and vice versa

Asset Qualifications:
Preferred standing may be given to those candidates who also meet the following:

Experience:

• Experience working and liaising with Chinese government agencies
• Experience in working with visiting business and/or government delegation
• Work experience in a francophone environment or in Québec
• Experience in organizing cultural and educational events

Organizational Needs:
N/A

Operational Requirements:
• Ability and willingness to work overtime on short notice as required
• Able to travel domestically and internationally as required

Condition(s) of Employment:
• Ability to obtain and maintain a valid working authorization in China. Per Chinese regulations, the Embassy / Consulates can only facilitate working visas for Canadian citizens
• Ability to obtain and maintain a valid “Reliability Status” security clearance

Area of selection:
This position is open to external applicants residing in China and employees occupying an indeterminate or term position in China Missions who meet all of the essential qualifications and whose applications are received by the closing date. Short-listed candidates should be able to participate in tests and/or interviews in Beijing at own expense. The successful candidate will be required to relocate to Beijing at their own expense.
