Summary of position:
Under the supervision of the manager of the cooperation program, the Cooperation Program Assistant provides support services, generates information and documentation, provides support for the day-to-day activities of the program, responds to requests for services from agents and customers, and perform other tasks as needed. Problem solving is done with easily accessible instructions and advice, and knowledge of the rules, procedures and functions of the program. In addition, the incumbent will need to prioritize multiple projects and tasks, provide services to internal and external mission clients, research and compile information, and maintain databases up-to-date. He will also manage events, ensure their logistics, and manage any impact on the proper functioning of the program operations and its image.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications. It is not sufficient to simply state responsibilities. They must also demonstrate and explain how they meet the following criteria:

Education:

• Higher Technician Certificate (BTS) or Higher Technician Diploma (DTS) or University Diploma of Technology (DUT) or Higher Diploma of Secretariat (DSS) / with option Secretariat of Management (BAC + 2).

Language:

• Fluency in French (reading, writing, speaking).

Experience:

• Minimum of two (2) years of recent work experience* as a Program Assistant or Executive Secretary or Secretary-Receptionist, of which at least one (1) in an Embassy, Cooperation Office, International Organization or an international non-governmental organization.

* Recent work experience is defined as being over the past five years

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to: written examinations, an oral interview, role-play, practical tests, presentations and/or psychometric assessments.

Knowledge:

• Knowledge of the Microsoft Office suite (Word, Excel, and Powerpoint);
• Knowledge of the Windows environment, Internet Explorer, and search engines;
• Knowledge of the international cooperation environment in Benin.

Abilities/Competencies:

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Proven training in the management of electronic and / or documentary information;
• Ability to communicate verbally and / or in writing in English.

Organizational Needs:

Operational Requirements:
• Regular hours of work: Monday to Thursday 8:00 to 17:00 and Friday 8:00 to 13:30 ;
• Be able to work overtime occasionally.

Condition(s) of Employment:
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
• Candidates must provide any documentation proving their right to reside and work in Benin.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in Benin so that if selected, it will appear on the offer letter.
• A reliability rating (security clearance) is required to obtain this position at the Embassy of Canada and will be subject to audits. This rating must be maintained throughout the employment - loss of the latter is sufficient reason to dismiss the employee.
• The appointment of the selected candidate will be conditional to a medical examination by the Office of the Embassy of Canada, as well as a probation period.
