The aim of this competition is to fill one full-time level 5 position (start date in March 2020) A pool of qualified candidates will be established from this selection process to fill similar future needs of the organization. These needs may be temporary in nature and the pool would be valid until 31 March 2021.

Summary of position:
Under the supervision of the Common Service Officer (CSO) or other officer/manager, the Common Service Assistant (CSA) is accountable for the provision of administrative support services of mission specific common services and the coordination of regionalised common services. The CSA is responsible for the provision of documents, information and a variety of administrative services in support of the following areas: procurement, contracting, project management, property and facilities management processes.
Specifically, the CSA – Project and Leases supports all mission construction/engineering projects and site management; supports the administration of capital procurement and acquisitions; coordinates all new and ongoing residential lease agreements; takes part in house-hunting activities as required.

Essential qualifications:
Screening Criteria:
Applicants must clearly demonstrate on their application that they meet all the following essential criteria and are within the area of selection. Failure to do so may result in the rejection of the application:

- Successful completion of secondary education

- Minimum 12 months recent* experience working in an office environment in an administrative support role in at least one of the following areas: procurement, contracting, project management, property and facilities management processes;
*recent is defined as within the last 3 (three) years
- Experience using one of the following: Microsoft Project, AutoCAD, SAP, BMS (Building Management System).

- Excellent (min C2 according to CEFR levels) written and oral command of Italian;
- Very good (min C1 according to CEFR levels) written and oral command in one of Canada's official languages (English or French) and good command (min B1 according to CEFR levels) of the other official language.

Rated Requirements:
Candidates must also meet the rated requirements shown below, which will be assessed through any of the following: written test, oral communication, role play, interview and reference checks.

- General office and administrative practices and procedures in the following areas: procurement, contracting, project management, property and facilities management processes;
- Proficiency in using MS Outlook, MS Word and MS Excel;
- Proficiency in using internet to search for information (e.g. Google Chrome, Google Maps);
- Knowledge of one of the following: Microsoft Project, AutoCAD, SAP, BMS (Building Management System);
- Familiarity with the use of data bases.

- Teamwork and Cooperation;
- Client Focus;
- Focus on Quality and Details;
- Plan, organize and prioritize work;
- Ability to communicate effectively (both orally and in writing) in Italian, English and French.

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications:
- Successfully completed post-secondary education (Bachelor’s or Master’s degree);
- Specialised degree (Bachelor or master) or recognised certification in a relevant discipline either in the legal/contracting or construction fields;
- Ability to use more than one of the following: Microsoft Project, AutoCAD, SAP, BMS (Building Management System);
- Proficiency in both of Canada’s official languages;
- Experience working with the Government of Canada;
- Experience working for a diplomatic mission or international environment.

Organizational Needs:

Operational Requirements:
- Ability and willingness to work on construction sites;
- Ability and willingness to work remotely at designated locations;
- Availability to work overtime (including early mornings and occasionally on weekends), sometimes on short notice.

Condition(s) of Employment:
Applicants must possess the required documentation giving them the right to work in Italy at the moment of application;
The position requires a valid Reliability Status granted by the Canadian Government. Incumbent must be able to secure and maintain a Reliability Status for the duration of the employment.

Area of selection:
This position is open to individuals who are eligible to work in Italy and reside in one of the EU countries part of the free mobility agreement, who meet all of the essential requirements stated below, and whose applications are received by the closing date. The Embassy does not reimburse any travel costs to and from assessments nor does it reimburse any relocation costs. The Embassy of Canada does not sponsor work permit applications on behalf of candidates.
