Summary of position:
Under the general supervision of the Events and Hospitality Manager and Event Coordinators, the Events Coordinator Assistant will undertake setup duties before and after official events, ensuring all function rooms are properly prepared for each event. This includes setup duties (such as lifting and movement of tables and chairs). Other duties include maintaining cleanliness of Mission by laundering flags, towels and linens as well as maintaining cleanliness of both staff and canteen kitchens. Assist Event Coordinators with all inventory of hospitality items.

The incumbent performs other duties as required.


Essential qualifications:
Candidates will initially be screened on the essential qualifications below and must demonstrate in their cover letter how they meet these criteria. Only those candidates who meet all the Essential Requirements will proceed to the next stage of the process.

Education: GCSE’s or equivalent (i.e. minimum High School Diploma)

Experience: 3 months experience in a client-facing, customer service or events role

Linguistic Profile: Working level of written and spoken English

Rated Requirements
Candidates must also meet the Rated Requirements shown below, which will be assessed through any of the following: written test, oral communication, interview and reference checks.
• Knowledge of how to set up a function room for an event with either written or visual instructions;
• Knowledge of how to clean and steam various event linens, flags;
• Knowledge of how to clean and tidy staff kitchens;
• Attention to detail;
• Ability to adapt and learn quickly new work and processes;
• Judgement / professional integrity (values & ethics);
• Teamwork and cooperation.

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications. Candidates must also clearly demonstrate how they meet these factors in their cover letter.
• Event set up experience
• Experience pressing and steaming linen
• Experience working in a diplomatic mission
• Knowledge in supporting audio/visual equipment, such as microphones and presentations.

Operational Requirements:
- Ability to work overtime in the evenings and/or weekends as required
- Ability to work flexible hours on occasions

Condition(s) of Employment:
Hours of work will be 37.5 per week, worked Monday to Friday at time to be arranged by the supervisor. Any job offer is subject to receipt of satisfactory employment and character references and the ability to obtain and maintain an Enhanced Reliability security screening (including a criminal record check and credit check).
Copies of educational qualifications as well as the required documentation allowing the right to work in the UK will be required at the interview stage of the process.
A medical assessment will be required to ensure fitness prior to any offer of employment made including
standing for extended periods of time, bending, kneeling and capable of lifting 50lbs (22kg) standard tables, chairs, and furniture.
