Term Details:
This position is an LES (Locally Engaged Staff) position, subject to the Term and Conditions of Employment for LES at the Embassy of Canada to the Netherlands. Initial fixed-term contract of 12 months with possibility to extend or become indeterminate. The working schedule (40%) is two days per week (16 hours/week).

Summary of position:
Under the general supervision of the Management and Consular Officer and supervision of the Consular Officer, operates the central telephone switchboard serving all programs of the mission; provides general information to visitors on the Consular, and other Programs; controls physical access to the Chancery and provides a front-line security system; and performs other duties.

Essential qualifications:
Essential qualifications:
Candidates will initially be screened against the essential qualifications relating to education, experience and language. It is insufficient to state that one simply meets the listed qualifications. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• MBO-4 or HAVO diploma or higher from a recognized post-secondary education institution

Language:
• Fluency in English (oral and written) – advance or native
• Working level of Dutch (oral and written) - intermediate
• Working level of French (oral and written) – intermediate

Experience*:
• Working experience* as a receptionist or as an administrative assistant providing services to external and/or internal clients in person, by telephone and electronically
• Data entry experience* on varied informatics supports and applications including Microsoft Word, Outlook and Excel

* Experience means at least two (2) years of work experience within the past five (5) years with a minimum of one (1) year of continuous experience in the same position.

Rated Requirements:
The rated requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• Knowledge of Microsoft Office software including Excel
• Knowledge of the general use of Internet
• Knowledge of general office principles such as : use of a central telephone system, preparing correspondence for external or internal clients, monitoring general mailbox and courier services, monitoring an online booking system, and/or calendar and/or agenda, maintaining an effective filing system.

Asset Qualifications:
Preference may be given to candidates who have the following asset qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.
• University degree in administration, social sciences or similar field
• Experience working on Passport, citizenship, immigration or consular matters
• Experience working at an Embassy or International Organization
• Experience working with the Government of Canada

Organizational Needs:
• The selected candidate must be available to start work no more than one (1) month following receipt of a job offer
• The selected candidate must be willing to work overtime and provide surge capacity during office hours, sometimes on short-notice, to replace his/her colleague receptionist or act as back-up for the consular assistant during annual leave, absences or emergencies

Operational Requirements:

• Right to work in the Netherlands at the time of submitting application
• Able to obtain and retain an enhanced reliability security clearance. The following documents will be required part of the security screening process for the successful candidate:

- VOG certificate
- Credit check
- Valid passport
- Certificate of Canadian Citizenship (if applicable)
- A recent passport photo (less than a year)
- Certificate(s) of employment and/or letter(s) of reference and references
- Legalized school certificates and/or diplomas (for non-Canadian diplomas)

• The selected candidate will be required to successfully complete the Passport Management Program for Foreign Operations Training with receiving a grade of 80% or more on the certification exam. The certification must be obtained within twelve (12) months of the hiring date. Failure to pass the certification exam within the prescribed period may prevent a subsequent term or indeterminate employment offer.
