Summary of position:
Under the supervision of the Common Services Officer (property and materials manager), the Common Services Assistant (property and materials) provides administrative support services, generates information and documentation for the contracting processes within the common services program. He/she provides asset maintenance services required to support the real estate business line, implements purchasing, receiving, inventory, warehousing, distribution, maintenance, repair and disposal of equipment for the mission. He/she also provides support for day-to-day Common Services program activities, responds to customer service requests and perform other duties as required.

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.


• Higher Technician Certificate-BTS (BAC + 2 level) in building, or in studies and economies of construction or
• Technological University Diploma-DUT Civil Engineering or
• A professional degree at the university in the field of construction or other discipline relevant to the position or
• An equivalent combination of relevant education, training and experience.


• Proficiency in French (oral and written)


• Minimum of two (2) years of recent work experience * in an office environment as administrative support.
* Recent is considered to be within the past 5 years.

Rated Requirements

The Rated Requirements relating to knowledge, abilities, personal suitability and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.


• Knowledge of construction (building and public works);
• Knowledge of basic accounting principles related to budgets;
• Knowledge of administrative principles, including project management and contracts;
• Knowledge of Microsoft Office (Word, Excel, Outlook).


• Ability to plan, organize, direct and control renovation or minor construction sites;
• Ability to interpret and analyze information quickly and efficiently;
• Ability to work under pressure, plan, organize, coordinate priorities and prioritize multiple tasks within tight deadlines;
• Ability to work courteously and efficiently in a multinational team;

• Effective interactive communication;
• Professional integrity;
• Judgment.

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.
• Experience using the SAP program or other management software;
• Experience in a supervisory role;
• Recent experience (over the past five years) as an assistant in a diplomatic mission or a multinational organization;
• Recent experience (within the last five years) in the field of facility management or property management or construction / renovation monitoring.

Organizational Needs:

Operational Requirements:
• The regular hours of work for the incumbent are in accordance with the regulations for locally engaged staff, i.e. 37.5 hours per week, Monday to Friday.
• Ability to work overtime on evenings and / or weekends as needed.
• Ability to work on public holidays in Côte d’Ivoire if the embassy is open.

Condition(s) of Employment:
• Applicants must have a valid work permit covering the entire period of employment. If the position is of an indeterminate nature, the work permit should be permanent or itself able to lead to a permanent work permit.
• Candidates must provide any documentation proving their right to reside and work in Côte d’Ivoire.
• Before a job offer can be made, applicants must provide a local address as proof of residency, in the country, city or region given that, if selected, will appear on the letter of offer.
• A reliability rating (security clearance) is required to obtain this position at the Embassy of Canada in Abidjan and will be subject to audits. This rating must be maintained throughout the employment - loss of the latter is sufficient reason to dismiss the employee.
