Summary of position:
The Commercial Assistant plays a critical role in managing a range of financial and administration tasks for the British Columbia Trade and Investment team across Asia. The role works with our teams based in locations across Asia and reports to our team in BC.
The Commercial Assistant is a locally-engaged employee of the Government of British Columbia, co-located with the Embassy of Canada to Philippines, providing financial and administrative support services to the British Columbia Trade and Investment Program. The Commercial Assistant is responsible for general administrative duties that include document management, research, financial support services, logistics and team support, assistance for office organization, scheduling of meetings and travel, general troubleshooting, as well as, support for various business development initiatives and programs, where appropriate.

Essential qualifications:
ESSENTIAL QUALIFICATIONS
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Bachelor’s Degree from a government recognized college/university.

Language:
• Fluency in English (verbal and written)
Experience:
• Experience with budgeting, financial monitoring and reporting.
• Experience providing administrative support including managing calendars, correspondence and travel.
• Experience writing, editing and formatting documents.
• Experience in conducting online research and synthesizing information from research into a coherent format, such as briefings, correspondence, and responses to enquiries.
• Experience with contract management and procurement of goods and services.


RATED REQUIREMENTS
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:

• Knowledge of Microsoft Office suite, including Excel and SharePoint.
• Knowledge of standard office practices and procedures.
• Knowledge of basic budget principles and financial management procedures.
• Knowledge of general principles of trade promotion and investment attraction.

Abilities:
• Ability to take initiative and independently plan and organize workflow, effectively managing multiple and conflicting demands within tight timelines.
• Ability to communicate effectively, both verbally and in writing.
• Ability to work accurately and with high attention to detail.
• Ability to conduct online research.

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

• Fluency in another language including Mandarin, Korean, Japanese, or Bahasa.
• Ability to provide logistical support for industry events, and incoming and outbound missions.
• Previous experience working in a diplomatic mission or intergovernmental organization, particularly in an office management or financial management role.
• Experience with customer relationship management tools (CRM).


Organizational Needs:

Operational Requirements:
• Must be willing to travel within Philippines on occasion; and
• Must be available for occasional duties outside normal working hours (i.e. evenings and weekends).

Condition(s) of Employment:
The successful candidate must:
• Have a valid “Reliability Status”, security check is required prior to appointment as well as a local police clearance certification and medical examination. The required level of security clearance must be maintained throughout the employment period.
• Have the ability to maintain a valid working authorization in Philippines for the duration of the employment term. If applicable, proof of Visa is required.
